One aspect that I am really happy with is how closer bonds were forged among the entree members. At the beginning, I really have my doubts on whether we can pull it off as one entree council therefore it is indeed heartening to see all of the members working hard towards a common goal on the day itself, determined to make it a success. The entree council is clearly more united after this big event and has definitely gained the confidence and experience required for planning similar events in the future.
On the other hand, what can be further improved on is the communication between the organizing committee and the rest of the council. I think up till the very day itself, there are still a number of members who are not very sure of what is actually happening, thus leading to the slight confusion at the start of the games. The committee should first let the entire council know what is going on, like a timeline for that day. After everyone is clear about the general picture, they can then proceed to planning the games within their own groups.
One other thing that needs to be taken note of is how the organizing committee should keep their emotions in check regardless of how stressful the situation may be. They should be able to work under pressure and not vent their frustrations on the members. We may have made some mistakes and misunderstood some instructions but everyone makes mistakes and the primary cause is probably due to miscommunication in the first place. There is no need to be sarcastic and bitchy about it. It will only cause resentment and make everyone unhappy. What is the use of repeating " Smile at all times. Be cheerful. Be high." when you yourself are frowning like this is the most painful event ever?
Firstly i would like to commend the whole entrepreneurship council for their hardwork and effort, making family day a success.I am happy that the event was carried out as scheduled. The preparations for the event was done properly and on time. As a result, the event also started promptly, without much delay. The entre members welcomed the guests warming and were very efficient in marking their attendance and handing them the items. However, during the waterbomb game, the speakers were not working properly. As a result, the instructions could not be clearly heard; parts of the intructions were cut off.
Parts of events which I am happy with:
1. Sufficient number of rehearsals.
2. Great meal.
3. Games are interesting.
4. Enough medals to keep the kids satisfied.
5. Wide variety of games.
6. Fun to organize.
Parts of events which I am unhappy with:
1. Dustbins can be more strategically placed.
2. Free drinks for the participants can be placed at a more visible place.
3. Drinks are too sweet; not a good choice to quench thirst.
4. Put signboards to indicate where to go after the participants register although there are ushers.
5. Sweets can be given to the facilitators to humor the kids.
I really enjoyed family day because i finally get to put the event into action and seeing everyone having a great just take away all the fatigue and stress i had from preparing for family day. One thing good abt family day is that i had a great time socialing with the ppl that came for family day and this provided me with the opportunity to be more sociable with others. One thing that needed improved is the movement of teams for the skill events; detailed planning is still lacking. The white team[my team] did not know the direction to move after the water bomb toss, i had to ask qian hui personally. I feel that if we manage to foresee the sequence of the skill events that each team must follow then there will be no more problem. Its really successful afterall.
The family day was successful as i could see that the guest were really enjoying themselves during the games. I felt a sense of satisfaction when the teams left our station with smiles on their faces. Through this event, i have learnt to communicate better with the others as it builds up my confidence through interactions with them. I have also learnt to be more sensitive towards the different needs of the people as the guests consist of both adults and children where they need different attention from us. However, i felt that there were insufficient equipments resulting in long waiting time for the guest and often, most of them had to stand or sit around doing nothing. I believe that with the sufficient equipments and a better organisation, the family day will be a perfect one! I enjoyed myself with the guest too!
I have really enjoyed myself and I believe everyone else has just as much fun Coz our guests were really enthusiastic and cooperative. I was quite worried at first cos I wasn't quite confident of handling so many people, esp experienced people holding high ranked jobs and little kids as young as 2 years old. However, it turned out to be less terrifying cos the other two student leaders in the team helped me out quite alot and the members in my team were quite friendly and nice. :)))
There are a few areas that should be improved. I noticed that the mothers got tired quite easily and they just sat around on the grass patch to make themselves comfortable. I thought maybe we could be slightly more flexible and therefore allowed them to leave the team for a short break (about 15-30min) at the bleaches. But, of course, they must tell the team leaders before they leave. Also, maybe we could give them a small goodie bag each to put their waterbottles. In addition to that, in the Hula Hoop game, I noticed that one of the participants could actually keep the hula hoop going around her waist for quite long coz hers is a weighted hula hoop. This means that other participants were deprived of the chance to try that hoop and get better timings. As the rule of the game is such that the longer you keep the hoop around your waist, the better you are, people will continue HOOPING until we force them to stop. Therefore, I suggest we should set a maximum timing ( 10min???). Anyone who beats the timing qualifies for Round 2 which requires a longer timing ( 15min???). Also, all the hula hoops used must be the same type to ensure fairness.
I think the O Game was successful. it 's really a happy moment to see the guests smiling, laughing and enjoying themselves. and i love the preparing and rehearsing sessions, which show that we put in a lot of effort with determination of making this a success. i think we can improve in the part of briefing the student leaders before hand of the orders of all the games. this is to avoid the messiness like the one in the first part.
ABOUT THE GAMES:
I guess the games planned were quite fun in all but I love the "Obstacle Race" the most as everyone gets to take part in it. Thus this is also one part that needs improvement as for most games, the team is split up into two:
-Team 1: With more adults less children
-Team 2: With less adults more children
as the two different sets of games going on concurrently is different in that one is more tiring (Team 1)and the other less demanding (Team 2)
Futhermore, I think that there should be someone reporting the race about who is leading or who is lacking behind , just like for a sports event because I felt that it is not competitive enough. We didn't know which team had finished and hence whether or not we should strive harder and speed up.
ABOUT THE PACE:
I think the pace was just right.
ABOUT THE SCHELDULE/COMMUNICATION:
I guess it is alright too but a bit messy when a game is completed too quickly and we were not sure what to do.
Moreover, although the walkie talkie(WT) idea was great but as I think it is not working very well or we do not know how to use it properly especially when it was very noisy everywhere, it is not good. For example, when the bench ball game finished too early, all the leaders were shouting into the WT words like "What should we do?" "I don't know. HOW?" "Everything is now in chaos!!!" And everybody around could hear all the screams and I personally heard some of them laughing at us!!! It's just make us so improfessional, so unprepared, so in a mess.
ABOUT PRIZE GIVING:
I love all the crackling, beautiful medals a lot. There are really nice and it was great that we have so many to give. HAHA! But I think that the speaker (Yu Jia) could speak clearer.
Hmm...ya...I guess that's it. :)
The part which I am happy with is how the coordination of events has gone well. This is all thanks to the event coordinators on that day. One bad point that I feel the event has is about the maximizing of resources, namely manpower. Unless there is really nothing to do, I feel that our members should not be idling around. There should be spots where those people who are out of duty can remain at so that they can be mobilized immediately should any more help is needed. In my opinion, those on duties could also play their roles better. I would specifically say that the student leaders could have done a better job in keeping the groups together instead of them wandering about. My point is that everybody involved should be more thoroughly familiar with their roles. For example, those in charge of the Wii duty, should have better knowledge of how the console works, how the game is played and how are they going to handle/teach players who are new to the game. There should be a step by step way to do it listed out to facilitate their duties.
Afterall, it was a wonderful event that left everybody feeling more than satisfied. :)
I. Good Aspects
1. Plan: The event was well-planned. All activities occurred relatively according to plan. Although there was some confusion during registration due to the fact that participants came earlier than expected, the situation was settled quickly and the rest of the plan went smoothly.
2. Logistics: All equipment and accessories required are sufficiently prepared. There was hardly shortage of equipment for the games during the event
3. Manpower: All members are assigned with a specific task so that there was no shortage of man power for any job. The idea of ‘recycling’ man power was perfectly applied.
4. Communication: Members are given walkie-talkies to communicate; and the process of assigning activities for teams was well done thanks to this fact.
5. Closing ceremony: The idea of giving out medals was great. Participants seemed happy when they were given something to bring back after the event. It might to even better if we can give out goodie bags.
6. Dinner!!!: The buffet was considerably good. A wide range of food was offered. The caterer also did well in term of providing good service and decoration of tables.
II. Aspects that need improvement
1. Registration: It was relatively unorganized during this time.
Evaluation: It might be necessary to set up a queue line for participants as they did not seem to be registering in lines; this caused the confusion. It is also possible that we decorate the registration booth a bit more because registration really gives the impression about an event.
2. Interaction with participants: Due to the generation gap between participants and organizers, it seems difficult to communicate with them. This caused boredom during lagging time between games as bonding games cannot be organized easily.
Evaluation: Set up booths around the playing area providing tea-breaks for participants during lagging time. Participants can then interact among themselves which they would love to do.
3. Lagging time between games: This will definitely happen for event like Family Day. During Orientation there was lagging time but OGLs can organize bonding games during this time.
Evaluation: Design more activities for participants to involve, setting up tea-break booths.
4. Manpower: There was participant commented:’ there are more white shirts than coloured shirts.’ It is true that there are Entrée Council members without a task during the event.
Evaluation: Recycling of man power, this was overseen by the organizing committee. Consideration should be put into whether the whole council should be involved in this event. If so, there might be more activities for the council’s member to involve in.
The part which I am happy with is how the coordination of events has gone well. This is all thanks to the event coordinators on that day. One bad point that I feel the event has is about the maximizing of resources, namely manpower. Unless there is really nothing to do, I feel that our members should not be idling around. Games like the wii and rock band were too hard to play for the families. There is a steep learning curve
Carpark duty did not have anything other than people. We only need cones and about 3 people on duty
Ice box was dirty and had to be cleaned at last minute for drinks
My shirt was an L which is like, too small =D
Games stations were hogged despite less-than-expected attendance.
I think the part that was I liked the most was interacting with the people and bonding with them while I was leading my group. Despite being multi-millionaires and all they were quick to warm up to us and get down and dirty and cheer their lungs out for each other and it was really quite eye-opening and heartening for us. And it was nice sitting with them afterwards during the prize giving thing and we all shared chips I had with me and chatted about school and life and blahblah and then we thanked each other and took pictures and it was nice (:
The area that needs improvement is probably the organisation, the event took quite a long time to get on track and nobody seemed to really have a clear idea on what exactly they were supposed to do, everyone was giving different instructions.
But in general it was super successful I think and it was great fun so, sorry if this was too long lit stuents are torturously longwinded ahhh
i think we did a good job and we managed to pull the event off even though it was a bit messy at the beginning.
however i thought that people could have been more aware, especially when things weren't exactly ready and the O games participants started coming in already. some people were busy and didn't even have time to eat lunch, while others were playing rockband.
i think that the council could get their members more involved in the planning, and not just have darren, qianhui and joanne planning everything, because it was alot of hard work on them, and we would have been more familiar with what was going on.
I felt that the O games was mostly a success. It was better than I expected it to be and after all the planning and rehearsals, seeing the whole event come into play was truly satisfying.
I was very encouraged at the initiative and helpfulness of some of the members. During the Registration, there were members whose duty had not yet started but volunteered to help us seeing how there was a lack of manpower.
The activities were well-planned as the food was great and the games seemed to be able to excite the kids.
I was especially elated when the eternal flame worked because we came into many problems during the process of decorating the fan to create the ‘flame’. It was initially quite a disaster. However we managed to figure out the problem and decided to redo it from scratch with the new idea we had. It was risky but we managed to make a flame that could ‘light up’ and actually looked like one! I learnt that when we experience problems in a task and even though others may lose confidence in it, all is not lost because with teamwork and determination, it is possible to make things happen!
One thing I felt required improvement was the organization. There was quite a lot of confusion maybe due to lack of clear instructions. The guests did not really understand what was happening. At the Registration booth there were too many things to be given out and recorded such that either the guests walked away without receiving their name tags/programme sheet/ towels or we missed them out. It could have been more organized if there was more manpower and tasks were divided out so we were clearer on what to do.
On the whole, I'm happy that the event went ahead successfully as planned. This event not only has brought the members together but has also taught us valuable lessons on organisation and planning.
What I was happy about.
1)Students helping out at ever possible opportunity even though they might not be on duty which solved many hiccups that occurred during the event.
2)The guest especially their cute children had lots of fun even though some games were well beyond their physical capability.
3)Food was great.
What I felt could be improved.
-I felt that there was much confusion near the registration booth as many of the guest had no idea where to go or do and started changing either at the bleaches or at the car park. More ushers/More organised and clear instructions could be passed down as it would leave a good first impression.
-Teams could be more evenly distributed according to age as some teams had many adults while some had many young children. This would affect their performances in games such as bench ball where adults trounced the young ones.
-Wii games were only enjoyed by the teens and not everybody could play them. Simpler games could have been used to ensure that everyone would enjoy them.
On a whole, I feel that Family Day is one of the most successful events to date in ACJC (since my admission to ACJC since 2nd intake). Although we encountered problems and obstacles at the initial stage, however thanks to the excellent teamwork of the Entrée Council members, coupled with the hard work put in by every member, we managed to overcome these obstacles and emerge triumphant in the end.
One notable example will be the storage of ice packs. After Mr. Sek, Adarsh and I purchased the ice packs at NTUC and 7-Eleven, we headed back to ACJC. However, the iceboxes were not washed by the time we purchased the ice packs at the different outlets. Adarsh and I phoned the respective I/Cs (in-charge), namely Jiehui and Joanne, and they set about dispatching Entrée Council members to clean the iceboxes. By the time we arrived at ACJC, only one icebox was ready for storing the ice packs. However, we coordinated and everyone chipped in to play a part in storing the ice packs successfully. People were running from one place to another, carrying ice packs from one destination to another, others were washing away the dirt in the icebox, and eventually, we managed to store the ice packs along with refreshments successfully. This portrays the fact that when everyone is of one heart, nothing is impossible.
One aspect of the event that I feel requires improvement will be the prizes. No doubt that everyone who is present is, and should be a winner, however I feel that nevertheless, there should still be some form of distinction to make the outstanding players stand out from the rest. This will motivate them to spur on and give them a sense of achievement when they receive their prize. I feel that for most events, medals will do fine, however, for certain events such as Rock Band, Entrée Council should get trophies which will make these outstanding players stand out. Some may interpret this act as being bias, however, I feel that for such events which require some form of expertise, we should give due credit to them. Also, with the advancement in modern technology, we can print the names of the winners on stickers that could thereafter be stuck on the medals. Rather than giving them medals without any indication that they have actually won the medals, why not give them recognition for their wins?
The planning of games and writing down rules were rather dry as we are quite familiarised with those activities already. I was afraid the day would go wrong and that people might get unhappy with unclear instructions or any unpredictable mistakes. However, i felt that the greatest achievement of entree council was being able to carry out the event smoothly and leave the participants great impressions. It was reliving to see them getting high while enjoying the games. I believed all of us, the facilitatos and participants, had a wonderful experience with O'games. I think that many seniors had put in tremendous effort to make it a success. Though it was a tiring day, the food was rewarding. :D
The best thing I found about the Family Day was that every member of Entree Council had contributed their parts in making the event a success. Everyone had put in their best, and we did the job well.
Planning and assigning personal role was crucial and i must commend on statistic, they have done an excellent job on the day.
However there is still room for improvement as we arrived pretty early in the morning but the preparation was not done until the event started. Most of us were responsible for more than a few unassigned roles as we do not have enough manpower in every station.
The event was definitely a success as our guests were satisfied with our organizing and execution of the project. The council had demonstrated its spirit of fellowship at the same time offering a learning experience for all of its members.
We learned much and had fun at the same time. Good job for everyone:)
